About Governors Village: Governors Village is a new mixed-use multifamily development featuring a total of 108 units, 254 bedrooms. We offer a unique split accommodation inventory catering to both short-term tourism stays and long-term full-time residences. Our unit mix includes 1, 2, 3, and 4-bedroom units, in addition to a range of public areas, including the lobby, gym, laundry room, commercial offices, and all back-of-house areas. Position Overview: The Reservations Supervisor for GV Trading Ltd. T/A Governors Village & Seven Mile Storage, is responsible for the day-to-day operations, ensuring efficient management of reservations, guest relations, and administrative tasks. This role involves coordination with multiple departments and external partners to provide exceptional guest experiences and maintain operational excellence. The position reports to the Property Manager. Key Responsibilities: Supervision and Team Management: • Lead and manage a team, including training, and performance evaluations. • Develop schedules, assignments, and work plans to ensure efficient operations. • Foster a positive and motivated work environment among the team. Reservation Management: • Handle Reservation System: Manage the property management system (PMS) for processing reservations including integration with booking engines, guest portals, and revenue management portals. • Implement Reservation Procedures: Establish & follow procedures for reservation management. • Coordinate with OTA and Booking Channels: Maintain relationships and integrations with Online Travel Agencies, other booking platforms & GDS platforms. • Group and Corporate Reservations: Handle group bookings and corporate reservations, ensuring all requirements are met. • Convert Sales Opportunities: Identify and act on opportunities to convert inquiries and tentative bookings into confirmed reservations to maximize sales and occupancy rates. • Room Allocation Strategy: Develop and implement strategies for room allocation to maximize inventory utilization and ensure optimal occupancy rates. • Act as a Sales Representative and Brand Ambassador: Champion our brand by actively promoting our property’s unique features and value propositions to prospective clients and partners. Leverage your expertise to drive sales, enhance brand reputation, and build lasting relationships that elevate our market presence and guest loyalty. Guest Relations: • Ensure Guest Communication Protocols: Adhere to guest communication standards. • Prepare Guest Information Materials: Distribute informational materials for guests through all established channels on what’s happening at GV. • Handle Guest Inquiries and Complaints: Address and resolve guest inquiries and complaints promptly and professionally. • Tenant Relations: Manage relations with long-term tenants, addressing their needs and concerns. Reporting and Compliance: • Generate Regular Reports: Produce daily, weekly, and monthly reports on reservation and revenue management activities, including key performance metrics such as occupancy rates, ADR, RevPAR, booking trends, and compliance status. • Tourism Tax Reporting: Ensure accurate and timely reporting of tourism taxes. • Follow Emergency Protocols: Implement established emergency response procedures. • Manage Guest Feedback System: Utilize feedback systems to gather and analyze guest feedback for continuous improvement. • Present Reports to Management: Circulate these reports to management for review and action. • Utilize Data for Improvement: Use data insights to drive continuous improvement in reservation and revenue management operations. Marketing and Promotion: • Adapt Marketing and Promotion Strategies: Implement promotional strategies and campaigns in collaboration with the marketing team & execute through established channels. Operational Coordination: • Administrative Duties: Handle administrative tasks, including document management and office organization utilizing established channels & software tools. • Housekeeping Coordination: Coordinate with housekeeping for room preparation and cleanliness standards. Ensure the rooms are inspected pre-arrival. • System Operations: Manage property management systems and other software tools to ensure smooth daily operations. • Maintenance Coordination: Work with maintenance staff to address and resolve any property-related issues. Additional Responsibilities: • Cover 7 Mile Storage Desk: Provide support at the storage desk as needed. • Seven Mile Storage Bookings: Manage the booking and billing for Seven Mile Storage facility. • Team Support: Assist team members in high-priority tasks to ensure overall operational success. Software Utilization and Optimization: • Utilize the reservation and revenue management software to automate and streamline operations. • Ensure efficient room inventory management, and task assignment using the system. • Monitor and analyze performance metrics to identify areas for improvement and implement necessary changes. • Optimize the use of the software to enhance operational efficiency and effectiveness. Requirements: Experience and Qualifications: • Experience: Must have a minimum of 8+ years in reservations management, with at least 5 years in a hospitality setting with a minimum of 200+ rooms. • Leadership Skills: Demonstrated ability to lead and manage a team, with a proven track record of improving team efficiency and effectiveness in a high-demand environment. • Financial Proficiency: Extensive experience in managing and optimizing departmental budgets, with a strong background in cost control, resource allocation, and financial reporting. • Organizational Abilities: Exceptional organizational and time-management skills to ensure smooth operations and adherence to schedules and deadlines. • Technical Knowledge: Advanced proficiency in reservation systems (e.g., Opera, Amadeus, WebRezPro) and a comprehensive understanding of hospitality management software. Must also have advanced Excel skills for data analysis and reporting. • Customer Service: Exceptional customer service and communication skills, with the ability to handle complex guest interactions and resolve issues efficiently. • Flexibility: Ability to work flexible hours, including evenings, weekends, and holidays, to meet the operational demands of the role. • Educational Background: A bachelor’s degree in Hospitality Management, Business Administration, or a related field is preferred. • Proven Excellence: Consistent track record of excellence in managing reservations and events, as well as a history of success in optimizing operations and enhancing guest experiences. • Versatility: Ability to seamlessly transition between roles and handle diverse responsibilities, from reservation sales coordination to event planning and front desk management.
